Categorizing your tasks using this method can help you prioritize which tasks need to be done first (urgent and important) and which tasks can wait (not urgent and not important).

Brian Tracy, a renowned productivity expert, also provides valuable insights in his article “The Truth About Frogs.” Your “frog” is your biggest, most important task of the day. Tracy emphasizes the importance of tackling this challenging task, also known as “eating the frog,” early in the day when your energy and focus are at their peak. Tip 2: Discover the power of time blocking

So, what is time blocking, exactly? This technique involves scheduling specific blocks of time for different activities. This technique helps you make the time for everything you need to accomplish. To do this effectively, start by identifying your key priorities and mark off dedicated blocks in your day or week to work on these first. Then do the same with the next most important task and so on. Time blocking is also great for those who are visual learners since it allows you to see at a glance what you should be working on. As the Harvard Business Review states, “Working hard and trying your best is sometimes not actually what’s required; the alternative — getting the right thing done at the right time — is a better outcome for all.”

  • When time blocking, it’s crucial to set realistic expectations and allow for flexibility.
  • Be mindful of your energy levels throughout the day and save your most productive hours for the tasks that require the most concentration and creativity.

Tip 3: Get techy with time management apps

Tip 4: Find balance with the Pomodoro technique

The Pomodoro technique is a time management method that involves breaking your work into focused intervals, typically 25 minutes long, followed by short breaks. This technique helps combat procrastination, improve concentration and maintain a healthy work-life balance. The National Institutes of Health emphasizes the effectiveness of the Pomodoro Technique in enhancing time management and productivity. Plus, it helps you maintain a sense of urgency while avoiding burnout and mental fatigue.

To try the Pomodoro technique:

  1. Set a timer for 25 minutes and focus solely on the task at hand during this period.
  2. Once the timer goes off, take a five-minute break to relax, stretch or do something quick that rejuvenates your mind.
  3. Repeat the cycle.
  4. After completing four Pomodoro cycles, take a longer break, around 15-30 minutes to recharge before resuming your work.

Forbes suggests that as you get more comfortable with the technique, change it up to fit your work style. Set the timer for 30 or 60 minutes instead of only 25. Or only do three cycles instead of four. The main goal? That’d be to cultivate time for focused work while giving yourself space to rest.
